Dear Colleagues, This important message is sent to all participants of ETC-7 (and to the few speakers who have not yet registered). TOPICS PRESENTED: hotel reservations; arrival; final registration and special certificates; participants with financial support; posters; projection equipment; recommendations for talks; evening events; telephone, fax and email; foreign exchange and shops; restaurants; weather, beaches, sightseeing. HOTEL RESERVATIONS All requested reservations have been made. Individual acknowledgments have been mailed by Atout Organisation Science (AOS) and should reach you very soon. In some instances, the category of hotel is not the one requested because at the time you made your reservation no rooms remained available in that category. As a protection against postal delays, I have already posted on the web, at the usual place (http://www.obs-nice.fr/etc7) under the heading "hotel reservations", an alphabetically ordered list of participants holding hotel reservations with the indication of the corresponding hotels, addresses, etc. Hotels are in Beaulieu-sur-mer, Saint-Jean Cap Ferrat and Villefranche-sur-mer, all within walking distance (<35') of the "Mediatheque" at the harbor of Saint-Jean Cap Ferrat, the site of the conference. For those who prefer not to walk we have organized transportation by "tourist trains" (mock trains traveling on the road). By mid-June, you shall find on the web detailed maps helping you to locate the hotels and the mediatheque and details about transportation. For any problem regarding your hotel reservations, please contact AOS (email: atoutsci@aix.pacwan.net, fax: +33-4-91529373, phone: +33-4-91527510) ARRIVAL Detailed information on how to reach the hotels and the mediatheque when arriving by plane, train or car will be posted on the web. At this point let me just mention two points. If you arrive by train, the best station is Beaulieu-sur-mer, about 8 km from the Nice central station (going east). Many, but not all, international trains stop in Beaulieu. If you arrive by plane the fastest way it to take a taxi (20 to 30 mn); this is however expensive (around 350F). Within a couple of weeks I shall send you another e-mail asking you to give me detailed arrival/departure information which will be posted on the web, ordered by time of arrival/departure and thus enable you to share taxis with colleagues. [Please do not send me this information now: I shall be away next week and the ETC-7 secretary will also be away.] FINAL REGISTRATION AND SPECIAL CERTIFICATES Final registration is open at the Mediatheque on Monday June 29 from 17:00 to 19:30 (we hope to extend it to 20:00; the exact information wil be available at you hotel upon arrival). From 17:00 to 20:00 there will be a "welcome wine" in the "Salle d'Exposition", the exhibition hall that is right above the Mediatheque which will hold the posters (see below), the coffee breaks, the Internet access, and various displays. You can also register on Tuesday June 30 from 8:00 to 8:55 (the schedule for the tourist trains takes this into account for Tuesday). You will be given the usual type of receipt for the registration fee and, when needed, a separate certificate detailing the resources covered by the registration fee. If you need any special certificate other than these, please send us a message to etc7@obs-nice.fr (subject "certificate") and describe your need (if possible give us the proposed wording of the certificate). PARTICIPANTS WITH FINANCIAL SUPPORT All such participants should bring a copy of key pages of their passport and of their tickets (if any). Please keep the original documents with you if you are to receive any money at the conference. POSTERS The size of posters is: maximum width = 80 cm, maximum height = 115cm. The posters will be on display for two full days. They come in two groups: A, associated to flash sessions 1, 2 and 3 and B, associated to flash sessions 4, 5 and 6 (see the program on the web to find the information about flash sessions). Group A posters will be on display from Monday June 29 (any time after 16:00) and should be removed before the end of the Wednesday afternoon coffee break (otherwise they will be removed by the organizers, as carefully as possible). Group B posters will be on display the last two days, Thursday and Friday. Each poster has a number associated to it (actually, this is the abstract number) which appears on the leftmost column of the posted program (and as "poster xxx" in the paper program which you will receive at final registration. Poster panels will be identified by that number. Posters will be affixed with pins or special devices (provided by us) on a soft felt-type background (no scotch tape should be used). PROJECTION EQUIPMENT * One standard overhead projector * Video projector accepting all VHS and laser disk formats (coding : SECAM, PAL and NTSC). Betacam also accepted (only with PAL). Video projection is available only for invited speakers and L-type talks (10'). If you intend to use it, you should notify the chairperson of your session and hand the video material to the technician (in the projection room near the entrance of the conference room). This material should be labeled with your name, title of the talk and duration of the video projection. When organizing your talk, please add to the time of your video 2 extra minutes for manipulations and adjustments. RECOMMENDATIONS FOR TALKS The duration of the talks, including discussion time, are: Invited speakers: 45' L-type talks: 10' S-type talks: 3' The same electronic timing system used at ETC-6 will be used again. A warning sound that the speaker is now infringing on the period which should be devoted to discussions will be heard 3' before the end for L-type talks and 5' before the end for invited speakers (no warning for S-type talks). A bell-type sound will indicate that the time is over. Given that L and S-type talks force the speakers to use their time very economically, a recommended distribution of the available time is: L-type talks: 2' or 3' of background, 4' or 5'of results, 3' of discussion S-type talks: 3' of results. Discussion postponed to the poster session (one hour for each group). It is not reasonable to have more than 3 or 4 transparencies for L-type talks and 1 or 2 for S-type talks. Otherwise I can just repeat some standard recommendations : Use large lettering so that it can be seen from the back of the room (when showing computer generated graphs it may be necessary to relabel the axes); avoid red and orange colors which are hard to see; try your transparencies on an overhead projector before the conference. EVENING EVENTS We shall have two events in French intended for the general public of Saint-Jean Cap Ferrat and neighboring cities. * On Wednesday, July 1 at 20:30, our colleague Uwe Ehrenstein will give a talk "Turbulence et Nage des Dauphins", followed by an informal discussion between the public and conference participants. Those who are able to understand French are encouraged to attend. * On Friday, July 3 at 20:30, the astrophysicist, Dr. Hubert Reeves will give a talk entitled: "L'Univers et la Turbulence". Given that Dr. Reeves is extremely well known, a fairly large crowd is expected. TELEPHONE, FAX AND EMAIL The telephone numbers of two portable phones at which the organizing staff can be contacted during the conference at business hours will be posted on the web by mid-June. There is no fax but in case of emergency you can send a fax to a nearby shop at +33-4-93 76 07 71 (att. ETC-7). There will be several PC's with an Internet access (through a single 33Kbauds connection). RESTAURANTS During the conference lunches will be served at two restaurants on the harbor. We have taken into account that some participants are vegetarians. The banquet will be on Thursday night, July 2 from 19:45 at the Grand Hotel du Cap Ferrat (outdoors unless the weather is bad, which is unlikely, unless you believe that El Nino messes up everything this year). Lunches and the banquet are included in the registration fee. For the other evening meals you have a vast choice of restaurants at all kind of prices (I have made special arrangements with two places, one at which you can expect to find a very good meal for 120F and another where you can eat for around 65-78F without regretting it). FOREIGN EXCHANGE AND SHOPS There is a money change office less than 50 meters from the Mediatheque. A few more meters and you shall be able to buy telephone cards and most international newspapers and do all the shopping you may need. There are also cash distributors nearby. WEATHER, BEACHES, SIGHTSEEING The weather in early July is usually rather pleasant (day temperature 23-27C, water temperature 22C). There are several beaches within minutes of the Mediatheque and of the hotels and a lot of nice walking. There are also two interesting museums, an interesting old town (Villefranche) and a zoo within walking distance. Finally, I hope you will be forgiving if some things turn out to be less than perfect : hard family circumstances are upsetting my schedule. I look forward to seeing you all soon.
